JOB DESCRIPTION
Administrative Assistant for Finance & Human Resources
JOB SUMMARY

This position is responsible for providing administrative support to the Finance and Human Resource Department.

MAJOR DUTIES

-Answers the phone, greets visitors and responds to inquiries and requests for information.
-Collects and receipts monies submitted by members of the public and other County offices.
-Processes department time sheets.
-Prepares a variety of correspondence.
-Collects, sorts and distributes mail.
-Arranges appointments and schedules meetings and workshops.
-Prepare a variety of reports.
-Schedules and reserves administration building meeting spaces and vehicles.
-Contacts vendors and contracts to secure bids for needed supplies and services.
-Inputs accounts payable and vendor invoices
-Scans records
-Provides human resources and payroll support
-Provides support to the County Administrator, County Clerk, CFO & HR Generalist
-Performs other related duties as assigned.

KNOWLEDGE REQUIRED BY THE POSITION

-Knowledge of related federal, state, and local laws.
-Knowledge of standard accounting practices and procedures.
-Knowledge of computers and job related software.
-Knowledge of modern office equipment.
-Skill in the preparation of clear and precise administrative reports.
-Skill in mathematical calculations.
-Skill in oral and written communication.
-Skill in interpersonal relations.

SUPERVISORY CONTROLS

The applicable supervisor assigns work in terms of general instructions. The supervisor spot-checks completed work for compliance with procedures, accuracy, and the nature and propriety of the final results.

GUIDELINES

Guidelines include County and department policies and policies, ordinances, and regulations, and related federal, state, and local laws. These guidelines are generally clear and specific but may require some interpretation in application.

COMPLEXITY/SCOPE OF WORK

-The work consists of related administrative duties.
-The purpose of this position is to administratively support operations. Success in this position helps ensure effective and efficient department operations.

CONTACTS

-Contacts are typically with coworkers, other County employees and agencies, vendors, and members of the general public.
-Contacts are typically to provide services or to give or exchange information.

PHYSICAL DEMANDS/ WORK ENVIRONMENT

Must be physically able to operate a variety of machinery and equipment including office equipment such as computers, fax machines, and copy machines. Must be able to use body to work, move, or carry objects or materials. This position requires: walking, standing, bending, stooping, pushing, pulling, lifting, fingering, grasping, feeling, seeing, talking, hearing, and repetitive motions. Must be able to exert up to 10 pounds of force occasionally. Physical demand requirements are at levels of those for sedentary work.

SUPERVISORY AND MANAGEMENT RESPONSIBILITY

This position has no supervisory responsibilities.

MINIMUM QUALIFICATIONS

Knowledge and level of competency commonly associated with completion of specialized training in the field of work, in addition to basic skills typically associated with a high school education, or a combination of education, experience and skills that meet the prerequisites of the position.

Experience sufficient to thoroughly understand the work of subordinate positions to be able to answer questions and resolve problems, usually associated with one to three years of experience or service.

Professional office/work experience preferred
